Xvision365 Help

Last updated September 2026

This page explains how to use the Xvision365 app. If your system was fitted by an installer, they are usually the quickest route to a fix.

Getting started

Create an account

  1. Open the app and tap Create an account.
  2. Enter your email address and choose a password.
  3. We send a code to that address. Enter it to confirm the account.

If the code does not arrive within a few minutes, check your junk folder before requesting another.

Add your first device

The quickest way is to scan the QR code. You will find it on a label on the recorder, or on screen under the recorder's network or cloud settings menu.

  1. Tap the plus button on the Devices screen.
  2. Tap Scan QR code and point your phone at the code.
  3. Give the device a name you will recognise, such as the site or the building.
  4. Enter the recorder's own username and password when prompted.

You can also add a device by typing its Cloud ID by hand if the code will not scan.

Connect to a device on the same network

If you are on site and on the same network as the recorder, use Connect to a local device on the login screen. This does not need an account and does not go through the internet.

Watching video

Live view

Tap a device to open live view. Pinch to zoom, and turn your phone sideways for a larger picture. Tap a channel to select it, then use the controls underneath to take a snapshot, start recording to your phone, turn audio on, or use two-way talk where the camera supports it.

If the picture is slow or breaking up, switch the stream quality from HD to SD. The app uses whichever connection it can find, and on a mobile network the lower setting is usually steadier.

Playback

Open a device and tap Playback. Choose a date, then drag along the timeline to the time you want. You can play back up to four channels at once.

If a period shows as empty, the recorder was either not recording at that time or has already overwritten it. How far back you can go depends on the size of the hard disk and how many cameras are recording.

Saving and sharing a clip

Snapshots and clips you save are stored in your phone's own photo library. From there you can send them by email or message in the usual way.

Notifications

Alerts are sent by the recorder when it detects motion, or a person or vehicle on cameras that support it. Turn them on per device under Alarm settings.

If alerts are not arriving

  • Check notifications are allowed for the app in your phone's settings.
  • On Android, exclude the app from battery optimisation. Aggressive power saving is the most common cause of missed alerts.
  • Check the alarm schedule on the recorder. Alerts are often set to office hours only.
  • Check the device is online in the app.

Sharing access

You can share a single device, or a whole group, with someone else. They need their own Xvision365 account, created with the email address you share to.

  1. Open the device and tap Share.
  2. Enter their email address and choose what they are allowed to do.
  3. They receive an email and the device appears in their app.

To remove access, open the same screen and delete the entry. It stops straight away.

Everyone who can see a camera can see everything that camera sees. Only share with people who should have that access.

Organising a larger system

Use groups to keep multiple sites tidy. Put every device at one address into a group, and you can open the whole site at once rather than device by device. Mark the cameras you check most often as favourites and they appear first.

Your account

Two-step verification

Turn this on under Account. When you sign in on a new phone, we send a code to your email address as well as asking for your password. We recommend it on every account.

Changing your password

Under Account, choose Change password. If you have forgotten it, use Forgotten your password? on the login screen.

Closing your account

You can close your account from the Account screen. This removes your account and the device list held against it. It does not delete recordings held on the recorder itself.

Common problems

Problem What to try
Device shows as offline Check the recorder is powered on and its network cable is connected. Check the recorder's own screen shows a cloud or P2P status of online. Restart the recorder if it does not.
Wrong username or password This is the recorder's password, not your Xvision365 account password. If it has been changed on the recorder, update it in the app under device settings.
Video will not open away from site Some business and guest networks block the ports the app needs. Try mobile data. If it works on mobile data but not on the office network, the network is the cause.
Picture is dark or washed out Adjust the camera image settings on the recorder rather than in the app. Infrared reflecting off a nearby wall or window is a common cause.
Cannot scan the QR code Clean the label, or add the device by typing its Cloud ID.

Still stuck

Contact your installer first if one fitted your system. Otherwise email support@y3k.com or call 020 8689 9999 during business hours. Tell us the device model, the Cloud ID, and what you see on screen.
